Move the archive without turning the move into a document review
A commercial archive move is not simply an office move with more boxes. The buyer needs to decide who identifies the records, who can release them and who receives them at the destination. A packing company can be asked to handle agreed containers without being authorised to read, sort or discard their contents. State that boundary before requesting an offer for your Sharjah site.
This brief concerns procurement and handover, not legal retention periods or a security certification. Your organisation remains responsible for its own record-management decisions. Do not assume that a general moving service includes confidential-document processing, destruction, scanning or an archive-management system. Ask about actual capabilities and agree any specialist requirement separately.
Create a container list that does not disclose the contents
Decide on a reference for each container or agreed group that the releasing and receiving contacts can recognise. Keep the detailed contents register under your organisation's control where appropriate. A label can identify a box for movement without displaying customer names, personnel details or document titles. Share only the information the provider needs to understand and perform the agreed work.
The list should distinguish containers ready for collection from those awaiting internal review. Do not let proximity to the collection area decide what travels. If the archive owner has not released a container, show it as pending rather than encouraging the moving team to infer permission from a similar label.
Specify whether packing is included or already complete
For an already packed archive, explain the expected handling unit and ask the provider to assess whether the proposed arrangement can be accepted. For packing assistance, clarify whether staff will pack records, supply containers or only move containers packed by your own team. These are different commitments. Do not describe them all as an inclusive archive move unless the actual offer agrees each element.
State who deals with an unlabelled, open or visibly damaged container. A sensible enquiry asks for a pause-and-report process rather than permission to inspect the documents. That proposed process is something to agree with the provider; it does not establish that a particular tracking, sealing or confidentiality service is available through Tamam.
Keep relocation separate from retention and disposal decisions
Before collection, your authorised record owner should decide which containers move and which remain outside the order. If someone describes a pile as old files, that description alone should not place it in a disposal service. Records can be old and still important to the business. A mover should not be asked to decide their continuing value from appearance.
If destruction or specialist storage is needed, describe it as a separate requirement requiring confirmation. Do not presume that transport acceptance establishes a destruction method, retention policy, storage condition or insurance arrangement. Obtain the actual proposed terms and responsibilities before treating any of those services as included.
Define receipt beyond leaving boxes inside the building
Name the authorised recipient and agreed receiving point at the Sharjah destination. Distinguish building access from acceptance of the archive. A person who opens a loading entrance may not be the person responsible for receiving the containers or acknowledging a discrepancy. Confirm what happens if the nominated recipient is unavailable before booking collection.
As a hypothetical example, a buyer releases twelve referenced containers but the receiving list identifies eleven. Record the reference that remains unresolved and the observations available; do not immediately declare loss, blame a party or sign an unconditional receipt to simplify paperwork. The record should accurately describe what was presented and what still needs reconciliation.
Agree the meaning of completion
A container count can support a movement handover, but it does not prove the accuracy or completeness of every document inside. If the buyer wants unpacking, shelf placement or a later internal contents check, distinguish those tasks from transport receipt. State who performs each task and which ones form part of the provider's accepted offer.
Keep subsequent corrections traceable rather than replacing the original receipt with a cleaner story. A later clarification may resolve a reference mismatch without changing what was observed during delivery. Avoid promising that the move will create a fully indexed archive unless that separate deliverable has genuinely been commissioned and accepted.
Send a non-sensitive archive-moving brief
