Make a recurring car-wash agreement reflect the fleet that actually attends

A recurring fleet-wash request can start with a clear vehicle list and become difficult to reconcile as vehicles move between sites, leave the business or miss a planned visit. The purchasing decision is how the agreement records those changes. Establish a current eligible list, an attendance record and the actual charging terms as separate items. A vehicle appearing on a monthly list is not proof that it was presented or cleaned.

This guide is about commercial scope and reconciliation, not prescribing a cleaning method or deciding whether work is permitted at a particular property. Separate fleet membership from each visit's work list

Maintain identifiable vehicle references for the proposed agreement. Show the intended service group and actual location rather than relying on a driver nickname. Then create a visit-specific list of vehicles expected to be available for the agreed work. A vehicle may belong to the fleet but be away on business, inaccessible or awaiting a separate scope decision that day.

Ask who confirms the visit list and how changes reach the provider. Do not assume a message sent to one driver updates the purchasing instruction. Keep a clear current version so the team does not have to choose between conflicting lists. Share only relevant business and vehicle information, not unnecessary employee schedules or personal documents.

Define the recurring package without hiding optional tasks

Specify the agreed exterior or interior tasks and identify any different vehicle groups. Keep periodic extras separate from the ordinary visit, whether they concern an interior request or another explicitly assessed service. A recurring arrangement should not silently include detailing, polishing or treatment of every reported mark. Ask the provider to explain the accepted scope in terms a receiving contact can check.

For interior work, confirm the authorised access and handling of personal belongings through the company's appropriate process. If access is not available, do not substitute a smaller service and mark the full package complete. Record the changed proposal and obtain the relevant decision. If the buyer wants a vehicle moved from one site group to another, check both scope and practical arrangements. Availability at a new address is not established by an existing agreement elsewhere. Test the arrangement with an absent vehicle and a substitute

Consider a hypothetical company whose agreed visit list includes several vehicles, one of which leaves before the provider arrives. A supervisor offers a different vehicle in its place and asks for interior cleaning that was not in the original scope. These are two changes: the asset and the requested work. Identify both rather than treating a one-for-one substitution as automatically equivalent.

Ask whether the provider can accept the new request, who authorises it and how the actual terms apply. If the change is not accepted, preserve the absent vehicle and unaccepted substitute as separate statuses. Do not record either as cleaned to make the day's totals match the expected number. Retain site confirmation when schedules repeat

Record the actual approved work area and the responsible property contact for each location. Ask how changes to access or available resources are communicated before the next visit. A previous service does not establish permanent permission, and a recurring calendar entry does not authorise use of a shared tap, electrical supply or storage area. Confirm the proposed arrangement for the actual site.

Do not treat a method label, including waterless, as proof of universal permission or suitability. Ask the provider and appropriate site contacts to address the relevant conditions. A site dependency that remains unresolved should remain visible in the visit plan rather than disappearing into a recurring order.

Reconcile service evidence before summarising the period

Images may support a record but should not replace the written scope and status of the vehicle.

A discrepancy is a question to resolve with those records, not proof that every difference is an error or an authorised extra. Preserve corrections and the reason for them. Do not relabel an unserviced vehicle as completed merely to reconcile a financial total.
